The Global Development Division develops and implements programs in basic education, vocational and higher education, civic engagement and governance, Teaching English to Speakers of other Languages (TESOL) and youth workforce development and entrepreneurship. In collaboration with Program Officers and Education Specialists, the Program Associate is directly involved in development and management of a diverse range of programs across the portfolio. This position is a dynamic one, involving interactions with DC-based and international staff from all levels of the organization. Successful Program Associates have strong interpersonal skills and can effectively communicate and collaborate with a diverse range of colleagues, partners, and donors. Programs are often fast-paced and deadline-oriented so flexibility, excellent organizational skills, and the ability to prioritize and manage multiple tasks are important.
Key Responsibilities:
Administrative
* Provide daily administrative support to project and unit staff by creating monthly calendars, scheduling appointments, providing logistical support, recording and disseminating meeting minutes, drafting correspondence, and coordinating travel arrangements
* Act as point of contact for all program staff members and independent contractors including, drafting/editing reports, drafting financial paperwork, and maintaining program files
* Provide support in elaborating project management key documents in collaboration with supervisor
* Prepare and maintain data files for unit tasks (electronically and manually)
* Manage internal databases for unit, as requested
* Schedule appointments and meetings for internal events
* Other related tasks, as assigned by supervisor
Program Management
* Assist with management of a range of global development projects in coordination with supervisor and senior Field Office representatives
* Review and revise quarterly and annual reports and prepare for submission to the donor
* Review financial reports and monitor project expenditures in support of Project Managers and in coordination with the Finance Officer
* Assist with review of field office advance requests and prepare wire transfers to field offices, as requested
* Assisting in the backstopping of program field offices and key personnel in close collaboration with the program manager
Program Development
* Represent the unit on social media internal working groups and support field offices to successful adapt effective social media strategies
* Support proposal development process by conducting background research, assist with program design, and proposal development tasks
* Review and summarize background documentation for areas and countries of interest within the portfolio
* Maintain internal unit tracking systems on corporate capabilities and past performance
* Provide needed support to technical team in online program development and implementation (e.g., LMS set up, content uploading, content management)
Required Qualifications:
* Bachelor's degree in International Relations or a related Education field, Master's Degree preferred
* Two or more years of professional experience (internship and/or employment)
* Strong administrative skills; Detail oriented with excellent organizational skills
* Ability to prioritize and manage multiple tasks
* Ability to work as a team player and adapt to quick changing situations
* Excellent oral and written communication skills
* Strong research, proposal writing and program development skills
* Ability to work independently but know when to ask for advice
Preferred Qualifications:
* Advanced foreign language abilities in at least one major language other than English
* Experience living, working or studying abroad strongly desired
* Experience working with or in conflict-affected states
