Job Details

Position summary:  The Strategic Events Coordinator is part of the team that delivers the TESOL International Convention & English Language Expo, the largest TESOL professional development event in the world. This position supports all activities related to the annual convention, regional conferences, and hybrid/virtual events. Reporting directly to the Sr. Strategic Events Manager, the Strategic Events Coordinator plays an integral role in the operations of all strategic events.

Responsibilities:

Convention Program and Staging:

  • Assists with the adjudication and scheduling process of peer-reviewed sessions
  • Staff liaison to strand coordinators as assigned
  • Assists with the scheduling of business meetings, convention offices, and accepted academic sessions.
  • Assists with registration questions and queries
  • Assists DSE and marketing staff with preparing marketing materials such as the program book, web site and advance promotion materials.
  • Member of the TESOL social media team, posting messaging on various platforms as needed
  • Assists SSEM with maintaining/updating the abstract management system for each year's convention site and program
  • Runs necessary program statistical reports/special needs information (proposal readers list, abstracts, indexes)
  • Assists with preparing specifications for facilities and contractors with room sets, audio-visual, food and beverage orders.
  • Manages solutions desk on-site at the convention
  • Assists with evaluation of convention
  • Other duties may be assigned.

Regional Conferences, Virtual/Hybrid Events and Other Events:

  • Assists with registration management
  • Assists with virtual conference platform setup
  • Manages submission and organization of pre-recorded content
  • Assists with speaker management
  • Assists with adjudication process
  • Assists with preparing specifications
  • Supports onsite logistical details as needed
  • Provides support to the DSE and SSEM as needed
  • Assists with evaluation of events
  • Other duties may be assigned.

Miscellaneous/Administrative:

  • Provides administrative support to finance coordinator as needed
  • Assists with keeping the strategic events inbox “clean” – all inquiries handled in a timely manner

 

Position Qualifications:

  • Bachelor’s degree in event management, hospitality management or related field
  • CMP and/or DES preferred but not required
  • 2-3 years’ experience in conference or event management
  • 1-2 years’ experience in virtual/digital event management
  • Experience with abstract management, Microsoft Word, Excel and iMis
  • Experience in a professional association preferred but not required

 

Special Requirements of the Position:

Required to lift heavy objects: Up to 25 pounds

Required to travel: Yes, to attend training, site visits and annual convention

Position Status: Full-time, Non-Exempt
