Job Details

The Content and Learning Coordinator is responsible for assisting with administrative aspects of the Group.  The position requires 2-4 years’ administrative experience in a non-profit organization, professional society experience is preferable. Should have knowledge of the book production and publishing process and strong familiarity with professional learning and learning management systems. Demonstrated competency in grammar, spelling, proofreading, and written and verbal communications skills. Strong customer service skills. Proficiency with Word, knowledge of Excel and databases required. Experience with association management systems and learning management systems desired.  Work requires attention to detail, flexibility to undertake a variety of tasks, and ability to work independently and as part of a team.

Education: Bachelor’s degree or equivalent experience

Experience: 2-4 years publishing experience, preferably within a non-profit environment. Experience in a professional learning environment preferred. Experience with association management systems strongly preferred.

Publishing:

  • Coordinate with marketing to set up new book information within the IPG Publisher Resources Portal; Update IPG as needed
  • Ensure eBook creation and sale for each new publication through IPG
  • Populate/update Sitefinity as necessary, also creating resource pages for books
  • Assist Director with print catalog development/preparation
  • Update councils, etc., in association management system (AMS) as necessary
  • Monitor Amazon; Work with IPG to ensure items are added and updated
  • Prepare comp copy book distribution, and ensure authors get ordering information per TESOL author contract obligations.
  • Prepare label spreadsheet for Wiley (TESOL Quarterly)
  • Prepare LOC/copyright applications and distribute books to Copyright office
  • Maintain Product IDs, ISBNs, and LOC#, submit notice to Director when ISBNs are running low
  • Maintain the archives and archive records of all TESOL publications
  • Run sales and inventory reports, manage and track reprint process as needed, within the IPG Publisher Resources portal; Run sales reports in iMIS as requested
  • Assist in developing TESOL new royalty process; input and maintain royalty contract information and run regular reports on AMS
  • Generate author royalty contracts and maintain author contact information
  • Obtain copyright release forms from all publication’s contributors not under contract
  • Work with IPG to ensure stock levels, commission orders, and daily management
  • Communicate with Customer Service vendor as needed regarding customer issues
  • Assess previous year Convention Bookstore sales; create consignment and send to IPG; assist with set up at convention; sell at convention bookstore; analyze sales post-convention
  • Manage payment for publications vendors and contractors

Production Editing:

  • Analyze manuscripts for production;
  • Assemble parts from author for design vendor;
  • Communicate about design and production with Group Director and designer;
  • Inspect final copy for errors, send final files to printer
  • Upload final files to IPG print-on-demand for reprints

Professional Learning:

  • Generate contracts and manage payments for instructors and vendors
  • Collect necessary tax information for instructors and vendors
  • Track enrollment and progress for a course contracts as needed
  • Collect and compile data about students for special cohorts
  • Provided administrative support for course Staff Administrators
  • Provide backup for course administration as required
  • Participate in Professional Learning tasks at convention, as assigned
